How to Configure WooCommerce Store Credit, Customer Balances and Partial Payments

WooCommerce store credit can help a store manage refunds, prepaid value and repeat purchases, but it is not one universal feature of WooCommerce core. In practice, stores use several extension-based workflows, and each one handles value differently. Before configuring anything, decide whether customers need an account-linked balance, reusable store-credit coupons or prepaid gift-card codes.

This distinction affects the payment method shown at checkout, the way customers access their credit, the handling of insufficient balances and the refund process. The exact menu labels, requirements and checkout behavior can vary by the selected extension and its installed version. Treat the following steps as separate configuration paths, not as one combined system.

Store Credit in WooCommerce: Choose the Right Model First

The first decision is where the value should be stored. Account-based funds are connected to a customer account and can be used through a dedicated store-credit payment gateway. This model is useful when the store wants to maintain a customer balance that administrators can review and adjust.

The Store Credit extension uses reusable coupons associated with customers. Customers can use the credit across multiple purchases until it is exhausted or the coupon expires, according to the selected extension’s rules. Such coupons may also be restricted to particular products or categories.

Gift Cards use unique prepaid digital codes. A code can be redeemed at checkout or added to a customer account for later use. This makes the model different from an account balance created directly by an administrator or from a reusable coupon issued to a specific customer.

Account funds, coupons and gift-card codes

Choose account funds when the intended experience is a persistent balance linked to a customer account. Choose store-credit coupons when reusable, customer-associated coupon value is more appropriate. Choose gift cards when the store needs a prepaid code that can be sent to the purchaser or another recipient. Availability of features, combination rules and display options depends on the selected extension. How to Configure Account-Based Store Credit

For an account-based workflow, activate the relevant Account Funds extension before configuring the balance system. Then separate the payment configuration from the product and refund configuration. This makes it easier to verify which feature controls the customer balance and which feature controls the checkout transaction.

Enabling the store-credit payment gateway

Account Funds adds a dedicated Store credit payment gateway under WooCommerce > Settings > Payments. Enable this gateway before expecting customers to pay with their account funds. The gateway is the checkout mechanism that makes available balance usable for an order.

After enabling it, review the customer-facing balance experience and test a complete order in a staging environment. Confirm that a customer with available funds can select store credit, that the order total is handled as expected and that the balance changes consistently after the order. If the selected extension supports rewards or other funding methods, configure them only after the basic payment path works. Do not assume that a feature documented for one extension is available in another. Before launch, communicate where customers can view their balance and how they can use it.

Using store-credit products

Account Funds supports Store credit products for stores that want customers to purchase account credit. The amount added to the customer’s account is based on the product’s Regular price. When a Sale price is used, the customer pays the sale price but receives credit equal to the Regular price, according to the documentation.

This behavior can support prepaid-balance scenarios, but it has direct commercial implications. Verify the pricing and accounting result before publishing such a product. Test the purchase, credit allocation and subsequent checkout rather than assuming that a discounted product behaves like an ordinary product.

How Partial Payments Work with WooCommerce Store Credit

Whether customers can combine credit with another payment method depends on the selected implementation and its settings. Account Funds includes an optional Partial payment setting. When it is enabled, customers can use available account funds and pay the remaining amount with another payment method when the balance does not cover the full order.

When Partial payment is disabled, account funds can be used only when the available balance covers the entire order total. This is an important checkout distinction: the same account balance can produce a different result depending on the gateway configuration.

Insufficient balances and checkout differences

The Store Credit extension also documents purchases whose value exceeds the remaining credit. In that workflow, the customer can pay the difference at checkout. This does not mean that all store-credit, coupon and gift-card systems behave identically.

Coupon and gift-card combinations are controlled separately by extension settings. Some documentation describes options for restricting combinations with coupons or gift cards. Before launch, test insufficient balances, shipping, taxes, discounts, native coupons and the chosen payment gateway in the actual configuration. Do not promise customers a particular combination rule until the complete checkout flow has been verified.

Creating Prepaid Store Credit Products and Gift Alternatives

Prepaid value can be offered in two materially different ways. An Account Funds Store credit product adds a predefined value to a customer’s account funds after purchase. This is an account-linked balance and is suitable when the purchaser is expected to use the value through that account-based workflow.

Gift Cards instead provide a prepaid digital code. The code can be generated for redemption at checkout, sent to the purchaser or another recipient, and added to an account for later use. This is a code-based gift workflow rather than a balance created directly in the recipient’s profile.

Account-linked balance or transferable code

Choose the account-linked model when the store needs a customer balance that administrators can manage. Choose the code-based model when the value must be delivered as a digital gift or accessed through a unique code. The choice affects delivery, redemption and customer support.

Define how recipients access the value before publishing the product. Do not expose gift-card codes, account balances or customer information in public pages, analytics, screenshots or support examples. Although both models represent prepaid value, they should not be treated as interchangeable without testing the selected extension’s settings.

Refunding Orders to WooCommerce Store Credit

A refund to store credit is a defined workflow choice, not automatically a replacement for a money refund through the original payment gateway. The store should decide how the credit is issued, where it appears for the customer and how the policy describes full or partial refunds.

Account Funds can refund orders paid with other payment methods to a customer’s account funds. Administrators can also review the resulting balance and adjust it from the customer profile. Other WooCommerce documentation describes issuing a refund as Store Credit or Gift Card through the relevant order-refund workflow.

Administrator-issued versus customer-requested credit

Account Funds supports administrator-issued refunds to account funds. A different workflow, documented for Smart Refunder with the required extensions installed, allows customers to request full or partial store credit instead of a money refund. Administrators then process the request from the order screen. The issued credit becomes available according to the selected coupon, account-funds or gift-card workflow.

Before enabling this option, define whether credit is full or partial, where customers can view it, whether it expires and how it interacts with coupons or gift cards. Confirm applicable legal, tax, accounting and consumer-protection requirements for the store’s jurisdiction before publishing refund or expiration terms. Do not describe store credit as a cash refund unless the documented workflow and applicable policy support that interpretation.

Managing Customer Balances and Preventing Store Credit Errors

Customer balance management requires clear records and limited administrative access. In the Account Funds workflow, administrators can view balances under Users > All Users and adjust an individual balance from the user profile. Manual changes should remain consistent with orders, refunds and the customer-facing explanation of the balance.

Limit access to balance adjustments and refund functions. An incorrect manual change can create a financial discrepancy or a customer dispute. Keep the selected extension, refund policy and checkout rules documented so that administrators do not apply account funds, coupons and gift cards as though they were the same type of value.

Pre-launch verification checklist

Test the complete workflow in a staging environment before enabling it on a live store. The research describes multiple extensions but does not establish identical behavior in every configuration, so verification should cover the exact products and settings installed.

  • Test a full payment with an account balance that covers the order total.
  • Test an insufficient balance and, where supported, payment of the remainder through another method.
  • Test order cancellation, failed payments and partial refunds.
  • Check the interaction between store credit, native coupons and gift cards.
  • Verify taxes, shipping and the selected payment-gateway behavior.
  • Confirm that customers can find their available credit, coupon or issued gift-card code.
  • Restrict administrator access to balance editing and refund functions.
  • Document customer-facing rules for refunds, expiration and combinations before launch.
