WooCommerce Shipment Tracking: How to Add Tracking Numbers and Delivery Links to Orders

WooCommerce shipment tracking helps store administrators connect an order with the information customers need after dispatch. The documented workflow records four core details: the shipping provider, tracking number, tracking link and shipped date. Once saved, these details can appear in the customer’s My Account order view and in applicable customer order emails.

Adding tracking information and sending an email are related, but separate steps. Saving a tracking number does not by itself send a message. The order status, enabled email notification and later mail delivery all affect whether the customer receives an update. This distinction is important when configuring a reliable order-handling process and when diagnosing missing information.

What WooCommerce Shipment Tracking Does

The WooCommerce Shipment Tracking workflow adds shipment information to an existing order. An administrator can associate the order with a shipping provider, enter the WooCommerce tracking number, record the shipped date and provide a tracking link. These fields give the customer a clear reference point for following the shipment.

The customer-facing information is not the same as a carrier-status system. The saved link takes the customer to the provider’s tracking page, where the provider’s available shipment information is displayed. A link should not be presented as proof that a parcel has been accepted, scanned or delivered. It is a route to the provider’s page, not a guarantee of a particular delivery status.

Tracking data versus delivery status

Store owners should also avoid assuming that every third-party carrier integration uses identical fields, URL formats or email behavior. The documented Shipment Tracking workflow supports the four core fields above, while other integrations may operate differently. For that reason, verify the destination before saving tracking information, especially when entering a custom provider manually.

How to Add a Tracking Number Manually

To add shipment tracking to an existing order, open WooCommerce > Orders and select the relevant order. In the order’s Shipment Tracking panel, choose Add Tracking Number. The next step is to identify the shipping provider and supply the information that should be shown to the customer.

  1. Select a listed shipping provider when the appropriate provider is available.
  2. Choose Custom Provider when the carrier is not listed.
  3. For a custom provider, enter the provider name and the complete tracking URL.
  4. Enter the tracking number and shipped date.
  5. Preview the destination, check that it is correct, and select Save Tracking.

If one order contains additional packages, select Add Tracking Number again and add the additional tracking information. Treat each entry as order data that should be checked against the correct shipment before saving. Avoid using real customer details or real tracking numbers in documentation screenshots or demonstrations.

Manual entry checklist

A short pre-save check can prevent incorrect links and mismatched order information:

  • Confirm that the correct order is open.
  • Check the selected provider or the custom provider name.
  • Verify the complete tracking URL when using a custom provider.
  • Check the tracking number and shipped date.
  • Preview the destination before saving.

This workflow records the information on the order. It does not by itself establish that the carrier has accepted the parcel or that the customer has been notified.

What Customers See After Tracking Is Added

After the tracking details are saved, customers can see the shipping provider, tracking number, shipped date and provider link. WooCommerce documents these details as available on the order page in My Account and in customer order emails generated after the tracking information is saved.

The order page gives the customer a place to return to while reviewing the purchase. The provider link gives access to the carrier’s tracking page. What the customer sees after following that link depends on the information available from the provider. The stored tracking data should therefore be described accurately: it identifies the shipment reference and destination, but does not independently confirm acceptance, scanning or delivery.

Order view and email visibility

There are two documented customer-facing locations to check. First, review the order in My Account. Second, review the applicable customer order email after the tracking data has been saved and the relevant notification has been generated. If the order page contains the data but the email does not arrive, investigate the email workflow separately rather than assuming the tracking entry was lost.

How Tracking Appears in WooCommerce Emails

Saving tracking data alone does not send an email. The saved provider, tracking number, shipped date and link can be included in an applicable customer order email, but WooCommerce must generate that notification under the relevant order-status conditions. In the documented workflow, the Completed Order email can include the tracking information when the order changes to Completed and that notification is enabled.

Check the notification configuration under WooCommerce > Settings > Emails. The relevant email must be enabled for WooCommerce to generate it. This is different from delivery to the customer’s inbox. Even when WooCommerce generates a message, hosting mail delivery, SMTP, sender-domain authentication and spam filtering can affect whether the recipient receives it.

The role of the Completed Order notification

The Completed status connects the order workflow with the documented Completed Order notification. If tracking information is saved while the order remains in another status, that action alone does not promise an email. Store owners should therefore check both the saved order data and the status that triggers the intended notification. A generated message also should not be treated as proof that it reached the recipient’s inbox.

Using WooCommerce Shipping for Automatic Tracking Numbers

WooCommerce Shipping provides a separate workflow based on shipping-label purchase. After a shipping label is purchased, WooCommerce Shipping can automatically generate and save a tracking number. The number and link can be found in the Shipment Tracking sidebar widget or by viewing the purchased label.

This label-based process should be kept distinct from manual entry. In manual entry, the administrator supplies the provider, tracking number, URL and shipped date in the order’s Shipment Tracking panel. In WooCommerce Shipping, the tracking number is generated and saved after the label purchase described in the documentation.

Purchased tracking numbers can be included in the Completed Order email when the order is completed. The label workflow can also be configured so that a successful label purchase marks the order complete and notifies the customer. That behavior still depends on the applicable email configuration and should not be presented as a universal result for every shipping setup.

When the label or tracking number is not immediately visible

If the label or tracking information does not appear immediately after purchase, refresh the order. Then review the order’s Shipment Tracking area and the purchased-label view. If the information is present there but the customer has no email, continue with the order-status and notification checks rather than entering the tracking number again without confirming what was already saved.

Troubleshooting Missing Tracking Data or Emails

Missing tracking information and missing email delivery are not necessarily the same problem. Start with the order record, then check the notification trigger, and only afterward investigate mail delivery. This sequence helps separate an unsaved tracking entry from a correctly generated message that was not delivered to the recipient.

A check-by-check diagnostic order

  1. Open the correct order and check its Shipment Tracking panel. Confirm that the provider, tracking number, shipped date and link were saved.
  2. If WooCommerce Shipping was used, refresh the order after purchasing the label and review the Shipment Tracking area or purchased-label view.
  3. Check whether the order reached the status that triggers the intended customer email, such as Completed for the documented Completed Order workflow.
  4. Open WooCommerce > Settings > Emails and verify that the relevant notification is enabled.
  5. Review the WooCommerce transactional-email logs under WooCommerce > Status > Logs. Look for an outcome such as Sent, Failed, Disabled or Skipped.
  6. If WooCommerce generated the message but it was not received, investigate hosting mail delivery, SMTP, sender-domain authentication and spam filtering.
  7. When the order status or email trigger behaves unexpectedly, consider plugin or theme conflicts. Use a backup, staging site or controlled conflict test rather than disabling security, authentication or production components without preparation.

A Sent log status indicates the message-generation workflow reached that outcome; it does not guarantee that the email arrived in the customer’s inbox. Similarly, a tracking link confirms that a destination was saved, not that the provider has recorded a scan or completed delivery. Keeping these distinctions clear makes troubleshooting more precise.
